The problem

Flexible office in Romania in 2026 is an Instagram discovery business that still closes on WhatsApp. A single Reel — morning light across a Pipera loft, a 30-second walkthrough of a 6-desk private suite, a community breakfast in Cluj — can pull 400–1,200 comments in a weekend, half of them intent signals: PREȚ, TOUR, DISPONIBIL, DAY PASS, SEDIUL SOCIAL, MEETING ROOM. The community managers were already hosting tours, unlocking meeting rooms, and chasing invoices. By the time someone opened Instagram at 21:10, the warmest comments were cold and half the DMs had already booked a competitor — or, increasingly, walked into an IWG Spaces / Regus centre that answered in under a minute.

The second leak was the tour-qualification spiral. A prospect who DM'd 'looking for 4–6 desks near metro, need sediu social' expected a human conversation. The team used to answer in free-form WhatsApp: clarify product (hot desk / dedicated / private office / day pass), ask headcount, ask move-in date, ask VAT company vs. PFA, ask whether they need a registered address, send a soft price band, share a floor plan PDF, propose three tour slots, confirm, reschedule. Twelve to eighteen outbound bubbles was normal before anyone walked through the door. That pattern was already expensive in summer 2026, when service replies inside the 24-hour window were still free. It became existential once Meta published the October rate card.

On 1 September 2026 Meta confirmed the cliff: from 1 October 2026, every non-template service message delivered on the WhatsApp Business Platform is billable at the market's utility/authentication rate. What we built

Second: Art. 50 disclosure in the opening sentence of every automated thread. The results after 90 days

Compliance stayed boring in the best way. Every first automated message named the AI. No invented inventory left the chat — the one early incident where a prospect asked for eight desks in a room that only held six was caught by the live OfficeRnD check before a tour was offered. e-Factura drafts cleared same-day for card memberships. And Meta Business Agent stayed disconnected; the grounded, Flow-first stack was simply cheaper per FAQ resolved — which mattered while IWG's expansion headlines were already showing up in founder group chats on X and LinkedIn as the competitive clock.

What we'd do differently

We initially scoped comment triggers across every Reel on the account. That made 'PREȚ' under an educational Reel about hybrid-work culture ambiguous — people wanted a blog link, not a tour. Limiting triggers to the six highest-intent space and tour Reels fixed precision overnight. If you automate Instagram for coworking, scope keywords per Reel, not per account.

We under-invested in sediu-social copy in week one. Too many freelancers selected 'need registered address' out of curiosity, then ghosted the tour when they learned the compliance checklist. Rewriting the Flow step with plain-language eligibility ('SRL / PFA with complete documents — community confirms after tour') improved show-up by double digits. The Flow is a filter; the words inside it are the product.
